EventsCollab Privacy Policy

Last updated: October 22, 2026

This Policy explains what personal data EventsCollab processes, why, who we share it with, how long we keep it and how you can exercise your rights. It is written to meet the main privacy laws of the countries where the App is offered, including the EU and UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), Canada's PIPEDA and Quebec's Law 25, Australia's Privacy Act 1988 and New Zealand's Privacy Act 2020. It forms part of the Terms of Use.

If you live in Brazil, the Brazilian version of this Policy (LGPD) applies to you instead.

  16. Summary of your rights

1. Who is responsible for your data

1.1. The controller of the data processed in the App is Wallace Danilo, an independent developer (individual) based in Cariacica, Espírito Santo, Brazil ("EventsCollab", "we", "us").

1.2. Our privacy contact (data protection officer and, in Quebec, the person in charge of the protection of personal information) is Wallace Danilo, reachable at help@eventscollab.com.

In short: this is the company responsible for your data, and this is the person to talk to.

2. What data we process

2.1. Data you give us:

  • your display name in each Event;
  • email and password, if you sign up with email. The password is stored encrypted and we never know it;
  • the name and email of your Google account, if you sign in with Google;
  • a profile photo, if you choose one;
  • the Photos you take or upload and the Captions you write;
  • the data of the Events you create: name, type, location, cover, times and rules;
  • your country and language, chosen when you open the App, and the date you accepted the Terms.

2.2. Data generated when you use the App:

  • the date and time of each Photo, its dimensions and the Event it belongs to;
  • which Events you created or joined and how many Photos you took in each;
  • curation actions (approve, discard, favorite) taken by Hosts and Organizers;
  • access logs (IP address, date and time);
  • a session identifier on your device, for people who take part without an account (see section 11).

2.3. What we do not collect: we do not access your location, your contacts or the photos in your gallery other than the ones you choose to upload. The Event location is text typed by the Host, not your location. We do not use facial recognition and do not collect biometric data.

In short: we keep the minimum the album needs: your name in the event, your photos and, if you have an account, your email.

3. Why we use it and on what legal basis

Purpose Data Legal basis (GDPR / UK GDPR)
Create and run Events, receive Photos, build the Album and the PDF Album Display name, Photos, Captions, Event data Performance of a contract (art. 6(1)(b))
Create and keep your account and guest access Email, encrypted password, Google data, session identifier Performance of a contract (art. 6(1)(b))
Show your name in the Album credits Display name and number of Photos Performance of a contract (art. 6(1)(b))
Record your acceptance of the Terms, your country and language Date, version, country, language Legal obligation and legitimate interest in proving acceptance (art. 6(1)(c) and (f))
Send the Reveal reminder on your phone The Event's Reveal date Consent (art. 6(1)(a)), given when you allow notifications
Security, prevention of fraud and abuse, content moderation Access logs, actions in the App Legitimate interest (art. 6(1)(f)) and legal obligation
Charge for paid packages, when available Purchase data (the card stays with the payment processor) Performance of a contract and legal obligation (tax)
Answer requests and complaints Email and request details Performance of a contract and legitimate interest

3.1. We do not sell your data, do not "share" it for cross-context behavioral advertising, do not use your Photos in advertising and do not make decisions about you based solely on automated processing.

3.2. Outside the EU and UK, we rely on the equivalent grounds of local law, and on your consent where that law requires it.

In short: we use your data only to make the app work, keep it safe and comply with the law.

4. Who sees your photos

4.1. Before the Reveal: nobody sees the Photos in the App, not even the person who took them. Once the camera closes, the Host and Organizers see the Photos to curate them.

4.2. After the Reveal:

  • Event participants see only approved Photos, and only if the Host allows it;
  • your display name appears with the Photos if the Host turns that option on;
  • if the Host allows downloads, participants can download the Photos and the PDF Album.

4.3. Outside the Event: your Photos are not public and are not shown to people who are not part of the Event. Exceptions:

  • the Event cover, chosen by the Host;
  • profile photos.

These two are kept in public storage so they load quickly in invitations.

In short: your photos only appear to people who were at the event, after the reveal, and only the ones the host approved.

5. Roles: host and EventsCollab

5.1. EventsCollab is the controller of the data needed to run the App: accounts, storage, security and logs.

5.2. The Host decides the rules of their Event: who is invited, which Photos go into the Album, who can see and download them, and which names appear in the credits. For this use of the Photos among participants, the Host also has responsibilities, for example:

  • telling guests about the Event;
  • respecting removal requests;
  • not using the Photos for purposes other than the Event.

EventsCollab gives the Host the tools to do this. When a Host uses the App purely for a personal or household event, data protection laws may not apply to the Host as an individual, but our commitments in this Policy still apply.

5.3. If you appear in a Photo and want it removed, you can ask the Host or ask us directly (section 12).

In short: we look after the system; the host looks after the choices of their event.

6. Who we share it with

6.1. We use suppliers that process data on our behalf (processors), only to provide the service and under contracts that require them to protect it:

Supplier What for
Supabase Database, authentication and storage of Photos and files
Google Sign-in with a Google account, when you choose it
Apple and Google (stores and operating systems) Delivering notifications and distributing the App
Google Play and the App Store Payments for plans and the subscription
Cloudflare Hosting of the eventscollab.com website and forwarding of support emails

6.2. We may also share data:

  • with authorities, when the law or a court order requires it, or to report crimes, especially those involving children;
  • to defend our rights in legal proceedings;
  • with a successor, if the company is sold or reorganized. This Policy will continue to apply.

6.3. For California residents: in the last 12 months we have disclosed the categories of personal information in section 2 (identifiers, photos and other content you create, and internet activity such as access logs) only to the service providers above, for the business purposes described in section 3. We have not sold or shared personal information, including of consumers under 16.

In short: we only share with those who help us run the app, or when the law requires it.

7. International transfers

7.1. Some suppliers, such as Supabase and Google, may store or process data on servers outside your country. Our main storage region is São Paulo, Brazil (Supabase, sa-east-1 region).

7.2. When we transfer personal data from the European Economic Area, the United Kingdom or Switzerland to countries without an adequacy decision, we use the Standard Contractual Clauses approved by the European Commission (and the UK addendum) or another lawful transfer mechanism, together with appropriate security measures. You can ask us for a copy of these safeguards.

7.3. For other countries (for example Canada, Australia, New Zealand, Mexico and other Latin American countries), we take reasonable steps so that your data receives protection comparable to that of your local law, and we remain responsible for the data handled by our suppliers.

In short: your data may be stored abroad, always with protection equivalent to your local law.

8. How long we keep it

Data How long
Photos, Captions and PDF Album For the period of the Event's plan after the Reveal (15 days on Free, 30 days on Plus, 3 months on Pro, 6 months on Ultimate and 12 months on Cerimonial), or until the Host or you delete them. We notify before any automatic deletion
Account data While the account exists
Guest Session While Events are linked to it, or until deletion
Record of acceptance of the Terms While the account exists and for the limitation period that follows
Access logs 6 months
Payment data and invoices For the period required by tax law
Data needed to defend legal claims Until the applicable limitation period ends

8.1. When you delete your account, we delete:

  • the account;
  • the Photos you uploaded, including thumbnails;
  • your profile photo;
  • the Events you created, with their Photos, cover and PDF Album.

Only data we are legally required to keep remains.

8.2. We cannot delete copies that other people have already downloaded to their own devices.

In short: we keep data only for as long as needed; deleting your account deletes your photos and events.

9. Security

9.1. We take technical and organizational measures to protect your data:

  • Photos are kept in private storage and are only accessed through temporary links that expire;
  • access rules in the database prevent anyone from seeing data of Events they are not part of;
  • connections are encrypted (HTTPS) and passwords are stored encrypted;
  • internal access is limited to those who need it.

9.2. No system is completely immune to failures. If a security incident occurs that is likely to put your rights at risk, we will notify you and the competent data protection authorities within the deadlines set by law (for example, within 72 hours to the supervisory authority under the GDPR).

In short: we protect your data with industry practices and tell you if something serious happens.

10. Children

10.1. You must be 18 or over to create Events. Younger people can join as Guests only within the age rules of their country and with the permission of a parent or guardian, as set out in section 4 of the Terms.

10.2. The App is not directed at children under 13, and we do not knowingly collect personal information from children under 13 without verifiable parental consent. If we learn that we have done so, we will delete it. Parents can contact us at help@eventscollab.com.

10.3. Photos of children are handled in their best interest. Parents and guardians can ask for those Photos to be removed at any time (section 12).

10.4. Any content that sexualizes or exploits minors is removed immediately and reported to the authorities.

In short: children only take part with permission, and their photos get extra protection.

11. Device identifiers and cookies

11.1. The App does not use advertising cookies or third-party tracking tools, and we do not track you across other apps or websites.

11.2. To keep you signed in, and so that people without an account can return to the same Event with the same Photos, we store a session identifier in the App's storage on your device (the backup of guest access is kept in the system's protected keychain). If you delete the App or its data, that identifier is lost.

11.3. The App also stores your preferences on the device, such as the camera grid, reminders, country and language. These preferences are not sent to us, except your country and language when you accept the Terms.

In short: we do not track you; we only keep on your phone what is needed to keep you connected.

12. Your rights

12.1. Depending on where you live, you have the right to:

  • access: know whether we process your data and get a copy;
  • correction: fix incomplete or wrong data;
  • deletion: have your data erased;
  • portability: receive your data in a structured, machine-readable format;
  • restriction and objection: limit or object to processing based on legitimate interest;
  • withdraw consent: for example, by turning off reminders, without affecting earlier processing;
  • not be subject to decisions based solely on automated processing (we do not make such decisions);
  • non-discrimination: we will not treat you differently for exercising your rights.

12.2. How to exercise them:

  • delete your account: directly in the App, at Profile > Privacy > Delete my account;
  • correct your name or profile photo: in your profile;
  • other requests: email help@eventscollab.com or our privacy contact (help@eventscollab.com).

To protect you, we may verify your identity before acting. You can also use an authorized agent, who must prove that they are acting for you. We answer within one month (GDPR and UK GDPR), 30 days (Canada, Australia, Quebec), 20 working days (New Zealand) or 45 days (California), and we may extend this when the law allows, telling you why.

12.3. If you are not satisfied with our answer, you can complain to the data protection authority of your country (see section 13). Californian residents can appeal our decision by replying to it.

In short: you can see, correct, take and delete your data; account deletion is done right in the app.
